How Egy XMS For Digital Solutions handles data in Amina and on this website.

Pilot version. Last updated November 8, 2026. This version is under legal review and may change.

Who we are

Egy XMS For Digital Solutions (ايجي اكس لنظم الادارة للحلول الرقميه) operates Amina, an automated assistant that participating clinics use to answer patients on WhatsApp and manage appointments. Registered office: 1 Mostafa El-Nahas St., at Main Abbas El-Akkad St., Floor 7, Apt 16, Nasr City, Cairo, Egypt.

Data we keep

We keep the minimum data needed to run the service.

Patient details

  • WhatsApp number and name as given by the patient. One number can be linked to several patients in the same family.

Appointments

  • Date and time, doctor, service, appointment status, and waitlist entries where used.

Conversations and missed calls

  • Text of WhatsApp messages between the patient and the clinic, and text transcribed from voice notes.
  • Caller number and call time when the clinic misses a call.
  • We do not ask for medical information, but a patient may write health details in a message, and these are kept as part of the conversation text.
  • We do not store audio files. Voice notes are sent for transcription and not kept afterwards.

Clinic staff

  • Account details: name, email or phone, and role.
  • A log of who opened each conversation and when, to protect patient confidentiality.

Why we use data

  • To book, reschedule and cancel appointments.
  • To answer administrative questions about the clinic, such as address, hours and fees.
  • To send reminders, notices that a doctor is late or a clinic is closed, and missed-call follow-ups.
  • To let clinic staff follow conversations and reply themselves.

We do not sell personal data or use it for marketing.

How long we keep data

  • Conversation text: 6 months by default. The clinic can change this period.
  • Audio files: not stored.
  • Appointment records: kept with the clinic's records until the clinic asks to delete them.
  • Backups: no longer than 30 days, for restoring the service after a failure.

Accessing or deleting your data

You can ask for a copy of your data, or for it to be corrected or deleted, through the clinic you contacted, or by emailing [email protected] with the clinic's name and your WhatsApp number. We complete requests within 7 business days at most.

How we protect data

  • WhatsApp access tokens are encrypted when stored.
  • Each clinic's data is separated, so one clinic cannot see another's.
  • The reception screen is limited to authorized clinic staff, and each conversation opened is logged.
  • The AI model has no direct access to the database.

Legal status

Health-related data is sensitive personal data under Egypt's Personal Data Protection Law No. 151 of 2020. We do not yet hold a license from the Personal Data Protection Center, and we plan to apply when its licensing procedures open. Some processing takes place outside Egypt, as listed above.
